The metadata elements clustered under KEYWORD DESCRIPTIONS are an aggregation of descriptors that identify people, places, things, activities, and time/date/year associations, using established picklists and authorities for recommended words, phrases, and values where possible. KEYWORD DESCRIPTIONS is intended to collect under a single "umbrella" summary field all the relevant, searchable field topics and names (similar to the way in which end users "Google" online resources). Keywords improve the "findability" of relevant media assets. |

The keywords published to end users are harvested from a series of individual metadata prompts that only catalogers may access. These metadata prompts are very granular in nature and are designed to help indexers articulate (and remember) all the important keywords that should be associated with a media item. The individual bits of data are then concatenated into a single "keyword summary" field, using North Plains "functional rules" capability, imposing a well-defined syntax structure. |

Enter a specific name for the main subject represented in the media item, whether it is the name of a person, an organization/institution, or a thing/item. Separate multiple entries with a semi-colon and a space, except for the final entry which should not have any trailing punctuation. The descriptor ITEM ID DESIGNATOR is used in combination with the ITEM ID for a media item. The ITEM ID provides a number; the ITEM ID DESIGNATOR identifies the individual, agency or institution who assigned it. 1. Determine the correct form of an individual's name when possible, whether a person or a group/organization. The Library of Congress Authoritieshttp://authorities.loc.gov ...or locally-specified bibliographic utilities (OCLC, RLIN, ULAN, etc.) should be consulted when possible. Otherwise, harvest the copyright holder information from a dust cover, jacket cover, book copyright page, program credits, catalog, or on-line index. 2. For naming purposes, enter personal names in the non-inverted form:FirstName MiddleName LastName. This is the complete opposite of the inverted form used to identify the CREATOR/AUTHOR of a media item in the metadata field citation_creator. 3. Enter group or organization names in full, direct form. In the case of a hierarchy, list the parts from the largest to smallest, separated by periods. 4. If a group or organization name includes subordinate units, the name may be shortened by eliminating some of the hierarchical parts not considered necessary for uniquely identifying the body in question. For example, to enter the CIA as a creator, use the form of the name as given in the Library of Congress Authorities (United States. Central Intelligence Agency) instead of the full hierarchical name (United States. National Security Council. Central Intelligence Agency). 5. If there is doubt as to how to enter a name and the form of name cannot be verified in a controlled vocabulary, enter it as it appears and do not invert. For example: Sitting Bull. 6. Enter multiple names by separating each entry by a semi-colon and a space. |

If needed, a specific time stamp (Thh:mm:ssTZD) directly follows the date designation. It begins with the letter "T" to flag that a time stamp is present, followed by the actual time. The time format (hh:mm:ss) consists of two digit designations for hours, minutes and seconds (19:20:30) in a 24 hour clock mode. If necessary, the seconds may be further defined by a decimal fraction of a second (19:20:30.45). For precise compliance with the W3C-DTF encoding format, the time zone designator (TZD)completes the statement and consists of a + or - sign and the number of hours a particular time zone deviates from Greenwich Mean Time. If the full date is unknown, month and year (YYYY-MM) or just year (YYYY) may be used. Use free text to input B.C.E years as in 200 B.C.E. For a range of years, enter the years on the same line, separating them with a space, hyphen, and space as in 1900 – 1950. Follow dates with a question mark (1997?) to show a year is approximate, or a circa date. Sometimes the time period is best expressed by a word or phrase instead of an actual year, month or day. |

The industry has had many debates about the difficulties in separating the structure of the presentation against it topical nature. In practice, digital asset management systems and media guides, both paper-based and electronic, have stopped making the distinction. A compelling argument for merging the descriptors is based on the habits of end users as they enter keywords and other descriptors into search engines.
