* DEFINITION...
A physical media item may exist in multiple formats or renditions. End users need to know what that format is, as well as its location and any unique ID associated with the media item at that location. A summary data field draws its information from three attributes that are combined into a single statement.
PHYSICAL FORMAT: A physical media item may exist in multiple formats or renditions associated with the type of media it is in (VHS, Beta, DVD, CD, etc.)
PHYSICAL LOCATION: Renditions for a media item may be available for download from a digital storage location or may be found in some physical location, building, department, library or shelf. For digital media items, the location is irrelevant because the digital asset management system handles the presentation and delivery of the asset to the end user through the web interface. For physical media items, location is relevant to the end user who may wish to acquire the asset. That location should be identified.
LOCATION ID or CALL NUMBER: The Location ID employs an unambiguous reference or identifier for a media item in a specific location. Best practice is to identify the media item with a string or number corresponding to an established or formal identification system if one exists (Dewey Decimal, Library of Congress, Amazon.com, etc.)

Structured Free Text:
There is a specific structure to the entry of data for the metadata field PHYSICAL FORMATS AND LOCATIONS. The structured syntax is free text data entry, but uses rules. With these rules, a simple and consistent "statement" is created that identifies the media formats available, from what locations, and with what specific call number/ID number.

FORMAT INFO:
Identify the format available. A style guide is provided to assist in selecting an appropriate name for the format. For example:

VHS videocassette
book
audio cassette
photo
CD-Audio
DVD-Video
1-inch videotape

If the available media consists of multiple formats that are bundled as one kit, use a "+" sign after the first format, then append the second.

1 book + 3 audio cassettes

LOCATION INFO:
Identify the location of a particular media format by adding a : (semicolon) + space after the format designation. Then enter the location.

ID or CALL NUMBER:
If there is a specific call number or unique ID number that is used to identifiy and locate the media format, add it to the statement by use of a ; (semicolon) + space after the earlier content. Then add the ID.

ADDITIONAL FORMATS:
For media items available in additional physical formats from other locations, append a second or third summary statement within the same metadata field. Consider ending the first statement with a Period+Space+Space. Then enter the second summary statement.
